Job Description

The CRM Coordinator is responsible for creating, managing, and advancing sales opportunities within the IFS CRM system, specifically for external manufacturer representatives (non-employees). This role ensures that once an opportunity template is created by the Mfg. Rep, that information is used to create an opportunity in CRM and then properly maintained, updated, and progressed through the sales funnel until the opportunity is closed. The CRM Coordinator may use their discretion to delay opportunity creation until all information on the opportunity template is accurate and completed.

Overview of Position

Acting as a central liaison between manufacturer reps, internal sales teams, and other stakeholders, the coordinator is accountable for assigning business activities, monitoring task completion, and maintaining data accuracy within the system. The ideal candidate brings strong project management skills, attention to detail, and the ability to work cross-functionally in a fast-paced environment.

Responsibilities

  • Oversee the lifecycle of CRM opportunities entered by manufacturer reps, ensuring timely advancement and updates.
  • Assign and track business activities and follow-ups related to each opportunity.
  • Monitor task completion and escalate delays or gaps in follow-through.
  • Ensure data integrity and consistency within IFS CRM, including opportunity stages, statuses, and supporting documentation.
  • Helps maintain the accuracy of the customer contacts database.
  • Collaborate with internal sales, engineering, operations, and customer service teams to align on opportunity status and support needs.
  • Provide regular reporting and visibility into rep-managed pipelines and opportunity progress.
  • Attends weekly pipeline reviews with Sales Manager and Manufacture rep.
  • Act as the primary CRM support contact for manufacturer reps regarding opportunity workflows and system usage.

Qualifications

  • Experience with CRM systems (preferably IFS) in a sales or operations environment.
  • Strong project coordination or project management background.
  • Excellent organizational and communication skills.
  • Ability to manage multiple tasks and priorities across various reps and timelines.
  • Detail-oriented with a focus on process compliance and accountability.
